Volunteer Information

 

Thanks for assisting with this important event. We appreciate your help in making the festival a
great experience for our artists and the public.

Friday night the majority of artists will arrive. All artists must check-in prior to setting up. They have a packet at the door in alpha order. We show them to their booth space. Doors on all sides can be opened for ease of load-in. We ask they they not be left open unnecessarily. Some artists are paying for lunch and they will need to pay at check-in. If they do owe, it is marked on the outside of their packet.

We assist with traffic control, make sure artists find the correct booth spaces and set-up food for all of the folks at the Sale Barn. Artists may request some help with unloading. We ask that you only do what you feel comfortable. It is usually more important to work the garage doors to make sure that the wind and a cold are kept to a minimum. We serve Gondolas, Chips and Pop around 6:30pm. We do order enough for staff, volunteers and artists to eat.

Saturday morning the last of the artists arrive, often at the last minute. We assist with making these preparations as smooth as possible and encourage everyone to move all vehicles to the back of the barn (on the west side). This is critical for having public parking available. We have coffee and doughnuts for the artists and volunteers. One talented individual will get coffee duty, volunteers are appreciated.

A big Saturday concern is addressing electrical issues. I and Rodney Litwiller are the point people for this. Our issues usually arise in the north west corner and then when artists use more than the allotted 300 watts per booth. This is always the most intense part of the event for me, so if you have questions or need answers on issue not related to electrical concerns before 11:00 am and I am “on the move”, seek Joe or Tony for answers.

We open to the public at 10:00 a.m. and typically we’ll have a crowd by 10:20. Admission is $5, children 12 & under are free. Members pay only $3.

If a customer is not a member of the Arts Center, they can join and have free entrance to our event. We’ll have a list of all current members at this station.

Heat is controlled by thermostats on the building columns. Doug should be the primary person to set these.

Around 9:30 the first musician will set up. If you are able to help Dave bring in equipment, please introduce yourself to him. He’s an easy going fellow.

One person will be stationed at the MCAC display board, most likely a board member, to be charming and sell memberships. We have a new display board and this is the most glamorous role we have. Formal attire is not required for this role.

Anyone leaving the festival without a nametag (not an artist or volunteer) will need a stamp on their hand to return. The stamp and ink are at the front desk.

Local arts group will have a booth this year, they do not pay to attend, but if they leave they will need the stamp to return.

We close at 5pm and spend the next 90 minutes helping artists leave (gently) and emptying the garbage bins. We also need to check the bathrooms throughout the day and make sure paper is available and they are clean.
